Are you looking for a challenging, fast-paced legal administrative role in an interesting and ever evolving area of law? Are you a highly organised individual who gains satisfaction in successfully supporting a busy team and in turn the clients they service?

We are looking for a professional and enthusiastic Legal Administrative Assistant to support our busy, high-performing Financial Services and FinTech practice group within our Melbourne CBD office. Specifically, this position will support the Blockchain team and have you working with leaders in the field, with the Partner recently recognised by FinTech Australia for his expertise in the area.

The successful candidate will have the opportunity to add an enormous amount of value to the day-to-day efficient running of the fast-paced practice by immersing yourself in the team (located across our Sydney and Melbourne offices) and will gain satisfaction from seeing your hard work make a difference. Whilst experience as a Legal Administrative Assistant is not essential, you must be highly organised, be able to take initiative and have a strong customer service mindset.

The team is tight-knit with an amazing team culture. Whilst exhibiting extremely high work ethic, they don't take themselves too seriously and there are plenty of laughs to be had along the way.

 

The Role

With no two days the same, the tasks you will be responsible for are;

  • Liaising with clients
  • Assisting the team with bids and proposals
  • Matter management to keep the team on top of their deadlines
  • Attending to time entries, expense reconciliation, processing third party invoices and reporting
  • Preparation of documents including letters, contracts and general correspondence
  • General administrative duties such as document management and travel bookings
  • Email and diary management
  • Assisting with high volume, and at times, complex billing and matter opening

To succeed in this role you will ideally have;

  • Experience in a law firm environment in an administrative capacity
  • Experience with email and diary management in a fast-paced environment
  • Exposure to working with systems (FileSite and Expert desirable), with the ability to pick up new systems quickly
  • Excellent time management skills with the ability to prioritise to ensure deadlines are met
  • High level of attention to detail whilst working in a fast-paced environment
  • Excellent verbal and written communication skills
  • Ability to work collaboratively within a team whilst also autonomously at times
  • Strong work ethic with a fun, engaging personality
